Automating a Pre-Scheduled Zoom Meeting or Webinar

Do you have an upcoming event and need to automate the playback? Here's how..

In this tutorial, we will cover the steps to attach an AEvent timeline to a pre-scheduled Zoom Meeting or Webinar.

Why would you want to do this? Perhaps you have a pre-scheduled meeting or webinar, and suddenly you or your host are unable to attend. Maybe you hold a weekly live training, but an upcoming date requires you to be free from it.

If you have a pre-recorded video of your planned presentation, AEvent can help save the day, and show up in your place!

Please follow the simple steps below to create a basic/default timeline, set the required parameters, and attach it to your pre-scheduled Zoom Event.

Step 1: Create a Basic Zoom Timeline

Before attaching a timeline to a pre-scheduled Zoom Meeting or Webinar we need to create a basic timeline.

Please login to the AEvent app, browse to Timelines, and select 'Create Timeline'.

On the first step, select Evergreen Webinar, Skip a Template selection, and under Platform, select Zoom.

For your Event Details, Just place a brief description of the Event in the title and description (this value won't be used externally, just for your reference).

If you have not already uploaded your video, you can initiate that here as well.

Under Select Integrations, just click on 'Next' as the goal here is to solely automate the playback of your Zoom Meeting or Webinar.

And under configure integrations, there are 2 decisions to be made here.

#1, if you are using a full-motion video, instead of a slide presentation, select HD High Motion Video.

#2, if you are using Zoom Meetings for your Event, Mute All is an option (we suggest using this)

Once complete, click on Create My Timeline, and Confirm the summary of your timeline creation.

If you uploaded a video during the creation of your timeline, this step is now complete.

If you did not, you will need to navigate to the Event Info section within your new timeline and select the video/s you would like AEvent to play.

Step 2: Attach your Timeline to your Pre-Scheduled Zoom Event

Now that you've created your timeline and you've selected your video, it's now time to attach your timeline to your Scheduled Zoom Meeting or Webinar.

Navigate to our scheduling tool (from your home page)

Select the timeline that you've created for this event, then click on Attach Timeline

(if you have more than 1 Zoom integration, you will need to select the Zoom integration you are using).

Once you've clicked on Attach Timeline, AEvent will query Zoom about any upcoming events within your Zoom account that are not already associated with an Event scheduled with AEvent.

Select the event you want to automate, and click Attach Timeline.

Then, back in the main Scheduler, we can see that the timeline is set to be attached to the event we selected in the popup. Once you confirm your settings, click on Schedule Event.

And that's it. On your Home Page, inside Scheduled Events -> Upcoming, you can verify AEvent's connection to your Pre-Scheduled Zoom Meeting or Webinar.

NOTE: If you need to change the time/date of this event, make sure you do it inside AEvent and not directly with Zoom. If you do it directly with Zoom, the connection with AEvents scheduling will break. If you do it within AEvent, our API will also change the scheduled time within your Zoom account.
