Why Zoom Scheduling Stopped: the Daily Webinar Limit, the Temporary Disable, and the Unlicensed Alt-Host Loop

Why your Zoom events stopped scheduling: Zoom's daily create/update limit, AEvent's protective temporary disable, and the unlicensed alternative host that often triggers it.

If your Zoom events suddenly stopped scheduling, and you saw a message that looked like you had updated 100 webinars, this article explains what actually happened. In most cases you did not personally edit that many events. Zoom limits how many times a single Zoom user can create or update webinars in one day, and a small configuration problem can quietly use up that limit for you.

By the end of this article you will understand the limit, why an unlicensed alternative host can trigger it, what AEvent does to protect your Zoom connection, and how to get scheduling working again.

What you will see

One or more of the following:

- A scheduling error that reads something like "A maximum of (100) webinars can be created and updated for a single user in one day," even though you did not update that many events yourself.

- Your Zoom events stop scheduling partway through a batch, or a recurring campaign stops creating new events.

- Your Zoom connection in AEvent appears disabled or shows an integration warning.

The error you saw versus what really happened

The message comes straight from Zoom, not from AEvent. Zoom counts every webinar your Zoom user creates or updates through the API, and it stops accepting more once you reach the daily limit. The wording makes it sound like you personally edited 100 webinars, but the count also includes automatic create and update calls that AEvent makes on your behalf when it schedules and maintains your events.

So the real question is usually not "did I edit that many events," but "what used up my Zoom user's daily create and update calls." That is where an unlicensed alternative host often comes in.

Zoom's daily create and update limit

Zoom applies a limit of about 100 webinar create or update actions per single Zoom user, per day. A few things are worth knowing:

- The limit is per Zoom user, not per AEvent campaign. If several campaigns schedule through the same Zoom user, they all draw from the same daily allowance.

- Both creating a new event and updating an existing one count against it.

- Recurring campaigns and multi event setups can make several calls per scheduled event, so a large batch can move through the allowance faster than you expect.

How a bad or unlicensed alternative host multiplies the calls

This is the most common cause we see. When a campaign is set to add an alternative host, AEvent tries to attach that person to each event it schedules. If the alternative host is not a licensed user on the same Zoom account, Zoom rejects the request.

Because the setup keeps trying to apply that host, each attempt is another create or update call against your Zoom user's daily allowance. On a recurring campaign, that failing loop can burn through the daily limit quickly, and then legitimate scheduling stops too. So a single misconfigured host can be the reason your whole Zoom connection ran out of room for the day.

AEvent's protective temporary disable, and the reset

When AEvent sees Zoom returning this daily limit response, it temporarily disables that Zoom connection instead of continuing to send failing requests. This is deliberate. It stops AEvent from hammering Zoom, and it protects your account from making the situation worse.

The disable is temporary. The connection is set to try again after Zoom's daily count resets, on the next Zoom day. You do not need to reconnect the integration from scratch to recover from this. Once the day rolls over and the underlying cause is fixed, scheduling resumes.

The fix: license or remove the alternative host

Correct the cause first, so the same loop does not use up tomorrow's allowance too.

1. Open the affected campaign and go to Campaign, then Integrations, then the Zoom cog, then Alternative Hosts.

2. Review the alternative host that is listed. If it should be there, make sure that person is a licensed user on the same Zoom account. If it is not needed, remove it.

3. Save your change.

4. Wait for Zoom's daily count to reset on the next Zoom day before you expect scheduling to resume.

Schedule in smaller batches, or spread across Zoom users

If you genuinely need to schedule a large number of events, you can avoid the daily limit in two ways:

- Schedule in smaller batches across more than one day, so no single Zoom user reaches the limit in one day.

- Spread the work across more than one licensed Zoom user, since the limit is counted per user.

Good to know

The temporary disable is a safety measure, not a sign that your Zoom connection is broken. If you fix the alternative host and wait for the reset, the connection recovers on its own.
