AEvent can automatically promote your panelists to co-host the moment they join your live Zoom webinar, even if their Zoom account is not part of your Zoom account.
Normally, Zoom only lets you pre-assign an Alternative Host if that person is a member of your own Zoom Business account. With Promote to Co-Host turned on, you can add anyone as a panelist (using any email / any Zoom login) and AEvent's automated host will grant them co-host powers as soon as they join.
By the end of this tutorial, you will know how to:
1. Add your panelists to a Zoom campaign.
2. Turn on Promote to Co-Host.
3. Confirm each panelist is promoted to co-host when they join.
Before you start
This feature applies to Zoom Webinars that use AEvent's automated host (for example, a Like-Live / automatic or hybrid presentation). The automated webinar computer is what promotes your panelists, so it needs to be running the event. It does not apply to Zoom Meetings.
Step-By-Step Tutorial:
Step 1: Add your panelists
Open your campaign and go to Integrations → Zoom Settings → Panelist.
Click Add Panelist and enter the person's name and email. You can add as many panelists as you need. When the campaign schedules an event, each panelist automatically receives a Join Event email with their personal join link.
You should see: your panelists listed, each with their name and email, and a Promote to Co-Host toggle at the top of the list.
Step 2: Turn on Promote to Co-Host
At the top of the Panelists list, switch Promote to Co-Host on. It is off by default.
That's the only setting you need. With it on, every panelist in this list will be promoted to co-host automatically when they join the live event, with no manual step during the webinar.
Step 3: Have your panelists join, and confirm co-host
Ask each panelist to join using the Join Event email link they received (not the public registration page). We recommend they join with their microphone muted and camera off unless they plan to present.
As each panelist joins, AEvent's automated host promotes them to co-host. To confirm it worked, open the Zoom Participants list. The panelist's name should read (Co-host). Once they are a co-host they can help moderate chat, manage participants, and remove attendees.
How this is different from Alternative Hosts
An Alternative Host has to be a member of your own Zoom account, and when the automated host has already started the event they join as a plain panelist with no host controls.
Promote to Co-Host removes both limits: the person can be on any Zoom account, and they are given co-host powers automatically on join. It also replaces the old manual step of opening your Event Support Portal and clicking Promote Panelists during the event.
Important notes:
This applies to Zoom Webinars only, and the event must be run by AEvent's automated host (the promotion is performed by the automated webinar computer once it is in the room).
Panelists must join with the Join Event link from their email so AEvent can recognize and promote them.
If a panelist joins before the automated host is in the room, they are promoted as soon as the automated host arrives.
