Integrating Zoom into your AEvent campaign allows you to automate your entire webinar or meeting workflow: scheduling, registration, attendance tracking, and post-event follow-up all happen hands-free.

Once you add your Zoom account following the tutorial below, you'll be ready to schedule and automate Zoom Webinars or Meetings directly from AEvent.

Adding Zoom to AEvent


โš ๏ธ BEFORE YOU START: โš ๏ธ

We recommend logging out of Zoom.us in your web browser before setting up this integration.

This ensures you connect the correct Zoom account to AEvent, not a personal or secondary account you may be logged into.

Also note: Admin privileges must be assigned to the Zoom account you are connecting. Standard user accounts cannot complete the authorization.


In order to add your Zoom Integration, you will need to:

  • Navigate to Integrations within AEvent, and click Add Integration.

  • In the Add Integration panel, find and select Zoom.

  • Click on Zoom to expand its details and see the available options.

  • Click Add Integration inside the expanded Zoom row. A connection dialog will appear.

  • Name your integration as you see fit, then click 'Connect.'

  • You will be redirected to Zoom's login page. Log in using the Zoom account you wish to integrate with AEvent.

  • Click Allow to grant AEvent the necessary permissions.

Because of the tools used with our App and Zoom, Admin privileges must be assigned to the Zoom account that is being added to AEvent. Standard user accounts will not be able to complete the authorization step.


  • Once your Zoom account has been successfully connected, you will see its Connected state, and you will be able to click on 'Test.'

  • A successful connection will yield a positive test result. ๐ŸŽ‰ Congratulations! Your Zoom account is now successfully connected to AEvent!


Configuring the Zoom Integration within a Campaign

Within any of your Campaigns, under the Integrations tab, you will see all available integrations.

  • Find Zoom and Activate it by toggling it on.

Once you have Activated the Zoom integration within your campaign, AEvent will handle the webinar creation and management automatically based on your campaign's schedule and settings.

If you wish to configure specific Zoom settings for this campaign, click the cogwheel icon next to the Zoom integration.

If you select a Zoom template here, note that AEvent requires an Admin (account-level) Zoom template. A personal "Save as Template" template is not honored by Zoom's API and will not work with AEvent. Admin templates are enabled and created by a Zoom account owner or admin. Zoom Webinar vs. Meeting Mode

When scheduling events through AEvent, you can choose between two Zoom experience types:

  • Zoom Webinar: Best for presentations to large audiences. Attendees watch and interact through Q&A and chat. Requires a Zoom Webinar add-on license.

  • Zoom Meeting: Best for interactive sessions where attendees can unmute, share video, and collaborate. Available on all paid Zoom plans.

If you select Webinar mode but your Zoom account does not have the Webinar add-on, event creation will fail.

AEvent checks your Zoom account's webinar capability during integration setup. If you see a "cannot create webinar" error, verify your Zoom plan includes the Webinar add-on, or switch to Meeting mode.


You select the experience type when scheduling your event from the Campaign's scheduling screen, not during integration setup.


Timeline Actions Available with Zoom

When using Zoom as your delivery platform, AEvent provides powerful automation actions you can add to your campaign timeline:

๐Ÿ’ฌ Auto Chat to Audience

Automate chat messages that are sent to all attendees during your live or automated webinar. Perfect for:

  • Welcome messages when attendees join

  • Dropping call-to-action links at the right moment

  • Engaging the audience during key points

  • Simulating a live feel during automated (Like-Live) events

To create an Auto Chat action, go to your Campaign's Timeline, click Create Action, set the timing, and for What select Live Event Automations โ†’ Auto Chat to Audience.

Because this message is sent to everyone, it is NOT customizable per registrant.

Note: This action only works with the Event automation type set to Like-Live or Hybrid. This does NOT work during a manual (Live) Zoom Event. Location: Campaign โ†’ Event Info โ†’ Event Automation (Presentation).

๐Ÿ–ฅ๏ธ CTA Popup (Screen Overlay)

Display an on-screen overlay during your Zoom event with a clickable call-to-action link, countdown timer, or promotional message. Options include:

  • Top or bottom screen placement

  • Countdown timer (counting up or down)

  • Multiple display styles

  • Display until end of webinar or for a set duration

To create a CTA Popup, go to your Campaign's Timeline, click Create Action, set the timing, and for What select Live Event Automations โ†’ CTA Popup.

Note: This action only works with the Event automation type set to Like-Live or Hybrid.


How to reconnect Zoom

If your Zoom connection stops working or you receive an integration error notification:

  • Navigate to Integrations in AEvent.

  • Find your Zoom integration card and click Test to check the connection.

  • If the test fails, click Re-Connect.

  • You will be redirected to Zoom to re-authorize. Log in and click Allow again.

  • Click Test again to confirm the connection is restored. โœ…

How to remove Zoom

To disconnect Zoom from AEvent:

  • Navigate to Integrations in AEvent.

  • Find your Zoom integration card and click the trash icon.

  • Confirm the removal when prompted.

Removing this integration will immediately affect

its use with any campaigns that it is active in.

If you are experiencing issues, try Re-Connecting (above) before removing. You can always re-add the integration later.



Troubleshooting

  • "Test Connection" shows failed: Try clicking Re-Connect to re-authorize with Zoom. Make sure the Zoom account has Admin privileges.

  • OAuth authorization fails: Make sure you are logging into the correct Zoom account. We recommend logging out of zoom.us first, then connecting through AEvent.

  • Integration not appearing in campaign: Check that your AEvent plan includes access to Zoom as a delivery platform.

  • "Admin privileges required" error: The Zoom account being connected must have Admin-level access. Standard or Basic users cannot authorize the integration. Contact your Zoom account administrator to upgrade your role.

  • Wrong Zoom account connected: Remove the integration (see above), log out of zoom.us in your browser, then re-add the integration and log into the correct account.
