Overview
In this tutorial, you'll learn how to schedule and update recurring events in AEvent. Recurring events allow you to automatically repeat your webinars on a set schedule — daily, weekly, or custom — without manually creating a new event each time. This is perfect for evergreen webinars, ongoing training sessions, or any event you want to run repeatedly.
AEvent can handle all aspects of your Zoom Meetings / Webinars. From scheduling to running, to segmenting and follow-up.
We DO recommend, as a Best Practice, using a Zoom account that is dedicated and assigned solely for use with AEvent. This can be a sub-account from your main Zoom account.
(If you need help with opening a secondary account and setting it up, please review Step 1 of our Co-Host tutorial for a step-by-step).
Prerequisites
An active AEvent account
A campaign already created in your dashboard
A connected event platform (e.g., Zoom, AStream)
Step-by-Step Guide
Step 1: Navigate to the Schedule Event Page
From your AEvent dashboard, click the "Schedule an Event" button in the Upcoming Events panel. This will take you to the Schedule Event page.
You'll see the Event Types section at the top with three dropdowns:
Event Campaign — Select the campaign this event belongs to
Event Platform — Choose your delivery platform (Zoom, AStream, etc.)
Delivery Application — Select the specific application
Step 2: Select "Recurring" as Your Event Type
Scroll down to the Schedule section. You'll see a Type toggle with two options:
One Time — For single events (selected by default)
Recurring — For events that repeat on a schedule
Click "Recurring" to switch to recurring mode. The form will update to show recurring-specific fields.
Step 3: Set Your Start Date and Time
With Recurring selected, configure the initial schedule:
Start Date — The date your first recurring event will run
Start Time — The time each event session begins
Timezone — The timezone for your event schedule
Step 4: Choose Your Repeat Mode
The Select Repeat Mode dropdown lets you choose how often your event repeats:
Daily — Event runs every day at the scheduled time
Weekly — Event runs once per week on the same day
Custom — Set a custom repeat interval
Step 5: Set Expiration (Optional)
The Expire dropdown controls when the recurring schedule stops:
Never — The event continues recurring indefinitely
After X occurrences — Stops after a set number of runs
On a specific date — Stops on a chosen end date
For evergreen webinars, "Never" is the recommended setting.
Step 6: Complete the Event Setup
After configuring your recurring schedule:
Select your Event Campaign, Event Platform, and Delivery Application from the dropdowns at the top
Review all your settings
Click the "Schedule Event" button to create your recurring event
Updating an Existing Recurring Event
Step 7: Find Your Campaign
To update an existing recurring event:
From the dashboard, click "View Campaigns"
Find your campaign in the Active campaigns list
Click the campaign name to open its detail view
Step 8: Update Event Info
Once inside your campaign, you'll see the Event Info page showing your Main Event and any After Events (Encores).
Click "Edit" next to the Event Name to update the event title
Use the campaign sidebar on the left to access other settings: Integrations, Registration, Timeline, Audience, Advanced, Templates, Code, and Revisions
Step 9: Save Your Changes
After making your updates, click "Save" to apply the changes. Your recurring event will continue on its schedule with the updated settings.
Troubleshooting
The "Recurring" option doesn't appear: Make sure you're on the Schedule Event page (not inside a campaign). The recurring toggle is only available when scheduling a new event.
Schedule Event button is greyed out: You need to select an Event Campaign, Event Platform, and Delivery Application before the button becomes active.
Timezone shows incorrectly: AEvent detects your browser timezone by default. Use the Timezone dropdown to manually select the correct timezone for your event.
Changes not reflecting for existing registrants: Updates to a recurring event apply to future occurrences. Registrants who already received confirmation emails will see the original details unless you resend notifications.
