Close CRM Integration

Connect Close CRM to AEvent to send registrants into Close as leads, apply tags, add notes, create opportunities, and run timeline actions based on event behavior.

Connect Close CRM to AEvent so registrant information can be sent into Close as a lead on registration, notes and tasks can be added, opportunities can be created, custom fields can be mapped, and timeline actions can update your Close records based on what happens inside your campaign.

Adding your Close CRM Account to AEvent

To connect your Close account to AEvent, first navigate to Integrations inside AEvent, click Add Integration, then search for and select Close CRM.

Name your integration as you see fit, then click Add.

You will then be prompted to enter the one value required to connect your Close account:

  • API Key

To retrieve your API Key, log in to Close and open your Settings, then open the Developer page. Create a new API Key (or copy an existing one) and keep it handy. You can review Close's own guidance on API keys in the Close help center.

Once you have your API Key, return to AEvent, paste it into the API Key field, then click Connect.

Once your Close account has been successfully added, you will see its Connected state, and you will be able to click Test. A successful test result confirms that your Close account is now connected to AEvent.

Configuring your Close CRM Integration within a Campaign

In order to use your Close CRM Integration within AEvent, you first need to activate it inside the campaign you are working on.

Open the campaign you want to use, click on Integrations, set your Close CRM Integration to Active, then click the cogwheel to define your settings.

Inside the Integration Settings, you define what should happen at the moment someone registers. Depending on your setup, this can include:

  • creating the registrant as a lead and assigning a Lead Status,

  • creating an Opportunity (with an opportunity status, value, and note),

  • adding a Task note,

  • and mapping AEvent values into Close custom fields.

Once these settings are defined, your initial Close CRM setup within this AEvent campaign is complete. Because the registrant is created as a lead at this step, your later timeline actions will have a lead to act on.

Creating a Timeline Action to Add a Lead to Close CRM

Most of the time you won't need this, registrants are created in Close automatically when they register (through your campaign Integration Settings above). In Close, a Lead is the record that holds your contacts; AEvent adds the registrant as a contact on a Lead and assigns the Lead Status you choose. It matches on email, so re-running it never creates duplicates, an existing lead is updated rather than duplicated.

Within the Timeline Builder, create an action and select the date and time you want it to occur. Select the audience you are targeting, choose your Close CRM Integration, and select Add Lead.

Choose the lead status you want new leads assigned to, then click Create.

If you are already sending registrants to Close from your campaign Integration Settings (above), those registrants are created as leads at registration. Use a timeline Add Lead action when you want to create the lead at a specific point on the timeline instead.


Creating a Timeline Action to Add a Note in Close CRM

The Add Note action posts a note to the lead's activity feed in Close, a simple way to leave a timestamped record of what happened during your event (for example, "Attended the webinar" or "Clicked the offer").

Within the Timeline Builder, create a new action, set the date, time, and audience, then select your Close CRM Integration and choose Add Note. Enter the note text you want posted, then click Create.

Creating a Timeline Action to Create a Task in Close CRM

The Create Task action creates a task on the lead in Close, a simple way to queue a follow-up for your team based on what happens during your event.

Within the Timeline Builder, create a new action, set the date, time, and audience, then select your Close CRM Integration and choose Create Task. Enter the task text, then click Create.

How to reconnect your Close CRM Integration

If your Close integration stops working, the most common fix is to reconnect it using a fresh API Key.

To reconnect, navigate to Integrations in AEvent, locate your Close CRM integration, and click Re-Connect. You will be prompted to re-enter your API Key.

To retrieve a current API Key, return to Close, open Settings → Developer, and copy an active key (or create a new one). Paste it back into AEvent, then click Test to confirm. Once the test is successful, your Close integration is fully reconnected and ready to use again.

How to remove your Close CRM Integration from AEvent

If you want to remove your Close CRM integration from AEvent, navigate to Integrations, locate your Close CRM integration, and click the trashcan icon. You will then be prompted to confirm the removal.

Removing this integration will immediately affect its use with any campaigns that it is active in.

If you are experiencing issues but do not want to remove it entirely, we recommend reconnecting it instead. You can always re-add the integration later.


Troubleshooting

  • "Test Connection" shows failed: Double-check that your API Key was copied in full from Close (Settings → Developer) and that the key is still active. Re-enter it and test again.

  • Notes or tasks are not appearing on a lead: These act on a lead that already exists in Close. Make sure the registrant has been sent to Close first, either through your campaign Integration Settings (on registration) or with an earlier Add Lead timeline action.

  • Integration not appearing in a campaign: Confirm the integration shows Connected on the Integrations page, and that it is toggled Active in the campaign's Integrations tab.

  • Timeline actions not executing: Verify the integration is Active in the campaign and that the audience you selected on the action actually matches registrants.
