Timeline built, pages working, ready to schedule your first AStream Event?

AEvent supports several different scheduling types utilizing AStream as the delivery platform.

From a single, one-time run to forever offering expected registration options in your registrant's time zone.

Before diving in, let's cover the three different scheduling options when using AStream.

#1, You want to run an Event just once, not recurring or evergreen. You want to schedule it for a set time and date, regardless of the registrant's geographical location. Your Event is scheduled for 5 pm PST (as an example) regardless. Then, One Time is the scheduling option you want to use.

#2, You want to run an Event at scheduled set intervals. Say Every day at 5 pm PST. Or every 5 minutes. Maybe every hour on the hour. You want to provide your registrants an option starting next hour, a few hours away, etc. Recurring Scheduling is the option you want to use.

#3, You want to run an Event at an Evergreen Interval. Say you want your registrant to see options of starting in 10 minutes, starting at 3 pm (In their time zone), or starting at 8 pm (in their time zone). Our Evergreen scheduling option offers the most flexibility of all 3. Allowing your registrant to always see a set schedule of times in relation to their location in the world.

Scheduling a One Time AStream Event

If you are scheduling an event using an AStream Timeline, you'll first need to click on 'Schedule An Event.'

Then, within the Scheduler, select the Timeline you are scheduling.

Next, since this is a One Time event.

Then select the planned Date and Time of your Event. (If this is a Multi-Event Timeline, please refer to our scheduling guide below).

(Every AEvent Account has a Time zone defined. By default, every new account is set up in EST/NYC Time zone. This setting can be changed by navigating to your Account Settings.)

After you've made all of your selections, click on the Schedule Event button in the lower right-hand corner.

Once AEvent has finished scheduling, you will see your newly scheduled Event under 'Upcoming.'

(When scheduling a Multi-Event, the Date and Time selection will be in relation to what you've built as the "Main Event." With our Timeline Builder, you can have Events Before or After the Main Event, so each scheduling will be different based upon this and the method in which you built out your Timeline. Learn more in the Multi-Event tutorial below).

Scheduling a Recurring AStream Event (at Set Intervals / Times)

If you are scheduling an event using an AStream Timeline, you'll first need to click on 'Schedule An Event.'

Within the Scheduler, select the Timeline you are scheduling.

Since you want this event to be a Recurring Event, slide the Type selector to Recurring.

Next, select the planned Start Date and Start Time of your Event, and click on Schedule.

(Every AEvent Account has a Time zone defined. By default, every new account is set up in EST/NYC Time zone. This setting can be changed by navigating to your Account Settings.)

Select the repetition mode in which you would like this Timeline to be scheduled. With an AStream Timeline, this can be either by the Minute, Hour, Day, or Week.

For example, if you've selected Weekly, select the day/s of the week in which you wish this to occur (can be more than 1). You can also select this to occur at an Every X interval. (So you could choose, say, every other Tuesday).

In this method of scheduling, you can schedule with frequency up to every 5 Minutes. (If you would like to increase this, please check out our tutorial below, Scheduling a Recurring AStream Event In Registrant Time zone).

HELPFUL HINT: Want to schedule this Timeline to run more than once a day? Or maybe twice a week, but at different times? Complete this tutorial, then rinse/repeat for the other time of day you would like this to run!

There is also an additional option of Expiration. Although not a requirement, if you wish this schedule to expire on a set Date or after a set amount of runs, you can schedule so here.

After you've made all of your selections, click on the Schedule Event button in the lower right-hand corner.

Once AEvent has finished scheduling, you will see your newly scheduled Event under 'Upcoming.'

Expecting to see more here? The backend will pick up this new schedule shortly and will schedule additional events. Don't Worry! Check back in 20 minutes, and refresh your page!

Scheduling an Evergreen AStream Event (In Registrant Time Zone and Relation)

When it comes to scheduling AStream using our Evergreen options, we have several sub-options (the intention here is to enable any scheduling imaginable, always displaying the options you wish to provide to your registrant).

First, you'll need to click on 'Schedule An Event'.

Within the Scheduler, select the Timeline you are scheduling.

Since you want this event to be an Evergreen Event, change the time zone from your accounts selection to Evergreen.

(By selecting Evergreen, instead of Event options for your registrant being in relation to the time zone of your account, everything will now be displayed in relation to the registrant's location).

Let's say we want to show event times to our Registrants, the first being an event starting within 5 minutes. Here, we'd select 5 Minutes and click on Schedule Event.

Let's say we also want to show an option that is 3 hours away. After scheduling the 5 minute option, we would return to scheduling, make the same selections, then instead of defining 5 minutes, we would define 3 hours.

For the third scheduling option, we want to display 5 PM Tomorrow (regardless of when the Registrant views our registration page and location / Time Zone.)

Return to scheduling, making the same selections, but under Time, select Exact (instead of relative). Then select Tomorrow at 5 pm.

With these scheduling options now set, any Registrant loading our registration page, regardless of time of day or location, will ALWAYS see an option starting within 5 minutes, an option that is 3 hours away, and an option for an Event tomorrow at 5PM.

Scheduling a Multi-Event AStream Timeline

If you are scheduling a Timeline that has been built out as a Multi-Event (more than one Event is built into the Timeline), then the steps are fairly similar to scheduling out a One-Time Event or a Recurring Event.

WITH one thing to keep in mind. When you are selecting the Date/Time you are selecting that for the "Main Event". With AEvent, your Main Event is static, and everything else you can build around it. So, your Main Event may be the first day of your multi-event timeline, or it may be the final session.

To schedule, you'll first need to click on 'Schedule An Event'.

Then, within the Scheduler, select the Timeline you are scheduling.

Next, you can schedule your multi-event timeline to be either a one-time event or a recurring event.


For a One-Time Event, follow the instructions below (for Recurring, scroll down).

Select the planned Date and Time of your Main Event.

For a Recurring Event, select the planned Start Date and Start Time of your Main Event.

Select the repetition mode in which you would like this Timeline to be scheduled. With an AStream Timeline, this can be either by the Minute, Hour, Day, or Week.

Be patient, AEvent is busy scheduling out all the Events that are within your Timeline. Once AEvent has successfully scheduled all your Events, you will see your newly scheduled Events under 'Upcoming.'

Do note that all the events listed that are part of this Timeline will appear in the schedule.
