Timeline Overview

Learn the AEvent Timeline, the visual builder that automates pre-event reminders, event-time actions, and follow-ups with exact or relative timing around Day 0.

This guide introduces you to the Timeline section of your campaign—the visual automation builder that powers everything before, during, and after your event. You'll learn how to schedule actions, understand event logic, and build a seamless experience for your registrants.

What Is the Timeline?

The Timeline is where your campaign automation comes to life. It allows you to control:

  • Pre-event reminders

  • Event-time actions

  • Post-event follow-ups

Each action on the timeline automates tasks across your connected tools—such as emails, SMS, tags, delays, and more.

Understanding the Layout

  • Day 0 = The Main Event Day

  • Days before Day 0 = Pre-event

  • Days after Day 0 = Post-event follow-up

Actions are automatically sorted by schedule. No manual naming or grouping is required.

What Are Timeline Actions?

Timeline actions are instructions you set to automate your event flow. Common actions include:

  • Send Email, SMS, or MMS

  • Drop Ringless Voicemail

  • Add Tags to contacts

  • Trigger External Automations

  • Delay delivery or Redirect users

  • Segment contacts based on behavior

Day 0 Toggle: Before or After

Day 0 includes a toggle for setting relative timing:

  • Before – Ideal for last-minute reminders

  • After – Great for thank-you messages or replay drops

Example:

  • 10 min before event → Reminder SMS

  • 1 hour after event → Replay email

Exact Time vs. Relative Time

  1. Exact Time: Choose a specific time of day (e.g., 12:00 PM)

  • Relative Time: Set based on event start (e.g., 2 hours before)

Relative time adjusts dynamically for each registrant—perfect for evergreen or automated events.

Adding an SMS Action (Example)

  1. Click Create Action (upper-right corner)

  2. Choose 1 day before event

  3. Choose Audience (e.g., Registrants)

  4. Select Twilio as your sending tool

  5. Select SMS

  6. Compose your message:

    • Personalize with tokens like First Name, Event Title, or Start Time

    • Add Emojis via the emoji picker

    • Attach an image (optional)

  7. Choose the Sending Number

  8. Click Create

Once added, actions are auto-positioned. No need to reorder.

Editing or Deleting Timeline Actions

You can make changes any time before going live:

  • Click on any action block

  • You can proceed to edit or delete the action

Nothing is locked until your campaign is live. You can adjust actions freely.

Pro Tip: Think Like Your Attendee

As you build your timeline, focus on the attendee experience:

  • What reminders do they need before the event?

  • What happens if they don’t show up?

  • Should they get a replay link, promo, or thank-you message?

  • Are there follow-up offers if they attend?
